SSN verification
The SSN verification service or in another way Social-Security-Number Verification-Service is the way that gives the employers the ability to do a match making between the Social Security records and record of all employee names & Social Security NO.s “the SSNs” inside the corporation before preparing and submitting Forms W-2. SSN verification is pretty much essential as the non matching records may lead to e extra cost of Earnings processing which in the future affects the eligibility to the Social-Security’s retirement, disability and most of the survivors program.
Usage of SSN verification
SSN verification services have to be used for only the verification target which it was made for like.
- Verifying the SSNs and names to assure that the current or previous employees’ records are so CORRECT , especially when it comes to the purpose behind the integration of the Internal Revenue Service of Form W-2 or in another meaning the Wage & Tax Statements.
- To verify the SSNs of newly hired employees or contractors or even when preparing for tax returns.
- To verify the Corporation’s policy. in this case SSN verification services have to be applied sequentially to all of the workers
When it comes to the Third party need of SSN verification services it is firmly exclusive on organizations that make contracts with Employers to either manage all responsibilities of Wage-Reporting or to process the in relation administrative functions with the Annual-Wage reporting responsibilities. It’s preferred to stipulate all contracts between the Third Party and employers, as those Third Party performed functions are so in relation with the Wage-Reporting responsibilities. In addition the SSN verification service could be used for only the Wage-Reporting responsibilities of the working employees. Notice that it is not good to use any SSN verification service for any purpose but the Wage-Reporting ones e.g. identities, checks of credit, mortgage applications… etc.
It’s a Federal law violation matter if any one knowingly requests for getting information from the Social Security with fake pretenses and this may lead to a fine punishment, getting imprisoned or even both. Notice that the Social-Security may forbid you and/or the corporation you symbolize from using SSN verification service in case the Social Security declared the service misuse.
SSA can return all of the SSNs and names submitted. In case SSN the name never matched, SSA recommends the following:
- This feedback you receive does not say that you or the employee has intentionally submitted invalid info about the employee’s SSN or his/her name.
- This feedback leads to no statement about the immigration status of your employee’s.
This feedback is not a role model action itself, to take any negative action against the employee e.g. laying him/her off, work suspend, firing, or even any kind of discrimination against that employee.
